IFS Seminar and Conference Room Use Policies

A. Scheduled use of the IFS Seminar Room 472 and IFS Conference Room 412 will be coordinated by and must be reserved through Claire Staley (cnstaley@uoregon.edu, 541-346-4898).

B. Users who wish to use the audio/video equipment and are not thoroughly familiar with it should request expert advice well in advance. (Spencer Chang and Graham Kribs have volunteered for this purpose for IFS Seminar Room 472.) Regular users of the equipment are encouraged to become experts themselves.

C. Library users who wish to check out books from the IFS Collection housed in the IFS Seminar Room 472 and the nearby hallway are asked to send an email to Anne McGinley listing the titles and authors of books checked out, and an email to confirm their return.

D. Room reservation requests will be considered according to the following priority list (highest to lowest). Please note that having a recurring reservation does not absolutely guarantee the use of the room; higher-priority needs that arise can still “bump” a lower-priority recurring reservation.

  1. High-profile events involving external scientific visitors run by IFS members. Example: IFS workshops, site visits by funding agencies supporting IFS members. Click here for a list of IFS members.
  2. Recurring scientific events that benefit all IFS members. Example: IFS seminars and colloquia.
  3. Recurring scientific events that benefit a subset of IFS. Example: IFS member group meetings.
  4. One-time scientific events organized by IFS members, IFS postdocs, or IFS students. Example: meetings with external visitors, PhD committee meetings if an IFS member is on the committee, video conferencing participation in virtual scientific meetings by one or more IFS members.
  5. Make-up class teaching: IFS member requests for one-time use of the seminar room for make-up classes will be accommodated if they do not interfere with higher-priority use.
  6. Recurring class teaching: IFS member requests for recurring use of the seminar room for classes is discouraged. Inquiries for such requests require written justification for the use of the room (why the academic unit is unable to provide space) and requires explicit permission from the IFS Director.
  7. One-time events organized by IFS members, IFS postdocs, or IFS students, such as impromptu meetings.
  8. One-time events organized by non-IFS members, such as physics graduate student comprehensive exams (that do not involve an IFS member).
  9. Requests for recurring events organized by people not affiliated with IFS must include written justification (why no other space is available for use) and have explicit permission from the IFS Director.
